IT ADMINISTRATOR

The IT Administrator focuses on identifying opportunities to improve operating profitability through effective utilization of information technology.  Reporting directly to the SVP Operations & Technology, this essential employee supports the management team and all employees with solution and data driven recommendations that result in process and productivity improvements to further enhance our customer service and support.   As an expert in process redesign, the IT Administrator is a change agent who excels at communicating needed information at all levels within the organization.

Essential Duties:

  • Be the expert on all software products in use by the company to support our customers, service lines, financial reporting, and third party services.
  • Oversee all hardware, software, telephony and computer service providers in use by the company.
  • Analyze company functions, processes, and activities to improve computer-based business applications for the most effective use of money, materials, equipment, and people.
  • Assign and update user credentials with their security permissions for the system network.
  • Develop and monitor data quality metrics, ensure business data and reporting needs are met.
  • Provide the Sales team with data and technology required to deliver innovative services.
  • Ensure the security of all data and proprietary information stored within and shared between our systems.
  • Work with users to develop requirements definition for all technology related initiatives, including cost benefit analyses.
  • Conduct root cause analyses of identified problems to determine the methods, equipment, and resources that will be needed to execute solutions and change.
  • Oversee the implementation of new technology and systems.
  • Assist the Training and Quality Specialists with process and technology training sessions and workshops needed to maximize the efficiency of users both internally and externally.
  • Assist the VP Strategic Operations in ensuring compliance with all requirements of our ISO certification & HIPAA compliance.
  • Maintain absolute confidentiality of all sensitive information.
  • Act as a communications bridge between technology and users.
  • Other duties as required

Qualifications:

  • Bachelor degree required; MBA preferred
  • Proficient in the use of all Microsoft Office products, including Excel and the creation of spreadsheets, pivot tables, functions, etc.
  • Microsoft Access and SQL experience required
  • Strong mathematical and research skills to execute reliable cost/benefit analyses are essential
  • Must be a Big Picture Thinker with strong process improvement and problem solving capabilities
  • Ability to work in a fast paced, high pressure environment while balancing multiple priorities
  • Ability to impact operations and effect change without being confrontational
  • Must be detail oriented, analytical and inquisitive
  • Excellent listening and verbal / written communications skills are necessary

As a part of our continued mission to provide world-class access to crucial life needs, we’re seeking an Customer Success Admin to serve as the critical role in delivering outstanding service. This position is responsible for greeting customers, contractors and applicants as they come into the office, call or submit email inquiries. The ideal candidate will thrive in a fast-paced environment with the ability to create an exceptional first impression and provide on-going Customer 1st service. Attention to detail and excellent interpersonal skills are required to deal with a large number of concurrent activities. Success is measured by answering calls within the first ring, delivering timely and accurate communications and completion of assigned tasks in a timely, accurate and professional manner. If you’re driven by making a difference in other’s lives and knowing their quality of life could be improved by your efforts this is the role for you.

Essential Duties

  • Build and maintain effective relationships with all internal and external clients
  • Greet onsite visitors
  • Take incoming customer requests via telephone and email

  • Quality Assurance of appointments being entered by team members
  • Manage effective and timely communications with interpreters and clients – such as: regular status reports of confirmed, cancelled and outstanding appointments
  • Keep all assignment and/or client-related information strictly confidential
  • Field questions and feedback from clients/vendors; relay information to management and other team members to continually improve personal and team performance
  • Customer service to both internal and external customers
  • Provide analytics that improve the performance of the team
  • Assist in scheduling resources to open appointments
  • Other administrative duties as assigned

Qualifications

  • At least 1 year in customer-facing role
  • Exceptional interpersonal skills and communication skills (written and oral)
  • Possess a consultative nature – ability to influence others to maximize client satisfaction
  • Knowledge of customer service principles and practices is required
  • Attention to detail and accuracy; ability to maintain confidential information
  • Ability to communicate effectively across cultures and in a variety of customer facing situations
  • Technical aptitude, familiarity in effective simultaneous use of multiple telecommunication systems

SENIOR CUSTOMER SUCCESS REPRESENTATIVE

The Senior Customer Success Representative is a seasoned Customer service professional who performs all of the Essential Duties of the Customer Success Representative (CSR) in addition to coordinating the activities of the department in the absence of the Interpreter Services Manager. The Senior CSR is a team leader who assists the CSRs on a daily basis to maneuver simultaneous Customer requests across multiple channels including telephone, email, scheduling software, and mass texting platforms. Attention to detail and excellent interpersonal skills are required to work with a large number of concurrent activities. This individual is a champion of company culture and values, leading by example to care deeply about our employees and customers, take initiative every day to foster an environment of continuous improvement and model integrity in all aspects of work and life.

Essential Duties 

  •  Provide needed support for all team members on a daily basis
  •  Peer monitor the performance of the team to offer additional training and coaching as needed on an individual basis
  •   Ensure the attainment of service levels as measured by the call reporting system, daily activity reports, and all other measures put in place to deliver excellence in communications at all times Lead by example, performing all the Essential Duties of an outstanding CSR as listed below:
  •  Build and maintain effective relationships with all assigned Customers and Interpreters
  •  Take incoming Customer requests (via telephone, email, scheduling software)
  •  Ensure appointment details are accurately logged into the scheduling system as required by ALS standards
  •  Implement, confirm, and monitor appropriate level of Interpreter for all assigned appointments
  •  Provide creative solutions to fill all assigned appointments with the appropriate level of Interpreter
  •  Resolve scheduling conflicts (cancellations, overlaps, rescheduled appointments) notifying both the Interpreter and the Customer as required by standard operating procedure.
  •  Analyze scheduling trends and interpreter feedback to maximize coverage and successfully fill all assigned appointments
  •  Manage effective and timely communications with Interpreters and Clients – such as: scheduling Interpreters, regular status reports of confirmed and outstanding appointments
  •  Keep all assignment and/or Customer-related information strictly confidential
  •  Field questions and feedback from Customers/vendors; relay information to management and other team members to continually improve personal and team performance
  •  Collaborate with the Recruiting & Retention staff to identify future Interpreter headcount needs based on appointment requests and forecasts
  •  Customer service to both internal and external Customers
  •  Relationship management and engagement with active Interpreters
  •  Other duties as assigned

Qualifications 

  • College degree preferred
  • At least 3 years in a Customer-facing role
  • Demonstrated success in a leadership capacity
  • Bi-lingual preferred but not required
  • Exceptional interpersonal skills and communication skills (written and oral)
  • Attention to detail and accuracy; ability to maintain confidential information
  •  Ability to communicate effectively across cultures and in a variety of Customer facing situations
  • Technical aptitude, familiarity in effective simultaneous use of multiple telecommunication systems
  • Creative thinker who takes the initiative to get tasks completed
  • Possess a consultative nature — ability to influence others to maximize Customer satisfaction and produce collaborative team success
